80/20 rule (Pareto principle)

How would you go about optimizing your day to day actions?

The Pareto Principle (also known as the 80/20 Rule) states that 20% of our effort is responsible for 80% of results.

In other words, most results are determined by a small number of actions. Consider how you can apply the Pareto Principle to your day. What is the least amount of effort you can use to get the biggest result?

Stop Overthinking !

Well today i have learned, that i generally overthink situations. I invent imaginary worries and based on those i stress myself unneededly.

I have a bad habit of procrastinating. In most cases it starts on purpose as i never wanna rush things, however the then creeping feeling starts building up inside. “Whar are they thinking of me”, “should i rather” or “rather not”. And as the days go by i get more passive and frustrated.

Stop already. Break the habit. Lean into the fact, that there is nothing to worry about.

It will take alot of intentional lifted fingers to the mirror to break this habit, but i have to try and break it down. I need to be better at challengimg my weak spots.

What is your most important priority

These days we are overflod with information all the time. Social media, news agencies, work etc. and it is difficult to always be cool about ones priorities.

It is easy to fall into the pit of switching focus whenever something new pops up, and that can cause alot if stress and lack of focus.

Scientists have proven, that human beings are not good at multitasking. That is a fact. That being said, there are lots of arguments for and against doing multiple tasks at the same time, and the discussion about whether this is gender specific and so on. We can however conclude that our brain will perform more optimally when only having to focus on one task at the time. Giving that task full attention will improve the quality and most likely also the speed of completion.

So where does Social media, family life, work etc. come into play here?

Well..

  • When at work, plan your day if possible. Always try to plan the most important stuff first. Take breaks during the day and use those to recharge, surf the net, socialize or whatever comes to mind.
  • When with family and friends, keep focus on the people you are together, nothing else matters in that specific moment. Park your phone or other distractions meanwhile.
  • When having own time, do whatever you like and let your mind wander freely.

Find the right balance

I work in a Software Company as a Software Architect. We deliver quality software to our clients who deliver quality services to their customers. Part of my job is to find a balance between keeping everybody satisfied at any given time.

My biggest fear, i must admit, throughout the last many years has been “Am I doing good enough”. This is not an unreasonable question to ask yourself. The difficult part has been finding the right way to measure the response to that question.

The very first thing to learn here, and this goes for anybody. There is no I in Team. You cannot measure how you are doing without measuring how your Team is doing first.

By taking some steps back, you can learn to forecast the weather situation, to use some kind of metaphor.

When working in a Team in an organisation you have several parties which rely on you. You do not have full control over the situation all the time, but what you can look for are signs like:

  • Does your manager seem to be satisfied with what you do? A bad manager might not hold you accountable or might not even notice how you are performing, but that might reflect in missing or poor feedback. The key is regular dialog, make sure that your priorities fit to your managers.
  • Do your direct reports or mentees seem to have the needed information and knowledge to perform their tasks. Do you feel you can trust them to do their part.
  • Are your Clients satisfied with the work your Team is delivering. Are they happy about the price of the projects, the quality of the delivery. Does your Team deliver on time and does the delivery fit to the requirements. There are alot of small elements involved, and you will not and cannot always nail it.

At the end of the day it is a matter of finding the right balance.

Jot down your idea

Have you ever been in a situation where just had the perfect idea for an article,  song lyrics ever or just an ideal punchline for the next team meeting, and that would of course be while you were on your bike on the way home from work or in the middle of a store, shopping for groceries?

Well i cannot tell you how many times i have tried that, pushing the thought to later, and then the idea is either forgotten or maybe has lost its glance.

What i have learned by experience is the importance of being able to seize the moment.

Seize the moment!

It might be inconvenient at some times, but by taking those few seconds or minutes to stop by the side of the road or in the grocery store to jot down your thoughts or record it as a memo for later, you will get that edge and be able to park those important moments until you have time to process them properly.

Draft it or it might be forgotten forever. It is a simple as that!

There are plenty of tools out there to help you, and your cell phone is probably filled with useful tools already.

  • Draft an email
  • Add a note in the digital notebook
  • Download a diary app
  • Use Trello or Asana, Evernote or OneNote
  • etc..

The important part is to get started, and make it an habit. From there on it gets easy.

Ever had the feeling that you are missing out on your children and your spouse? You ought to hit the gym more often but then never actually do anything about it?

I have had that feeling and it bothered me big time. The scary part was, that i procrastinated over it for a longer period, until one day i woke  up and thought. No more! There must be a way to pull myself together and improve.

Now I am all about easy, unfortunately. Having worked in software engineering and customer support for many years now, i am known to prefer automated processes as they are much more reliant and cheaper to maintain.
